What we collect
- Account information — your name, email address, password (stored only as a secure hash), and role (coach or organization admin).
- Home territory — your home field location and travel radius, which we use to find events near you.
- Team information — team name, age group, classification, and similar details you enter to personalize recommendations.
- Content you submit — reviews of tournaments you played, the logo and photo you upload for a team, shortlists, and saved plans.
- Usage data — basic logs such as pages viewed, actions taken, IP address, and device/browser information, used to operate, secure, and improve the Service.
- Payment information — handled by Stripe. We receive subscription status and limited billing metadata, but we never see or store your full card number.
How we use it
- To personalize nearby events — matching your home territory and team to relevant tournaments, distances, and scores.
- To publish what you choose to publish — a review shows on that tournament's public page under your first name and last initial; a team logo or photo shows on that team's shared link and to anyone in the same organization.
- To run your account and subscription, including billing through Stripe.
- To send transactional email — account, security, billing, and support messages — through our email provider, Resend. We are not sending marketing blasts.
- To keep the Service secure and reliable — preventing abuse, enforcing our Acceptable Use Policy, and debugging problems.
- To improve the Service and our scoring, using aggregated and de-identified insights where possible.
We don't sell your data
We do not sell or rent your personal information. We share it only with the service providers that make TournyScout work — for example, Stripe for payments and Resend for transactional email — and only as needed for them to perform that service. We may also disclose information if required by law or to protect the Service and its users.
Payments
Subscription payments are processed by Stripe. Your card details go directly to Stripe and are handled under Stripe’s privacy and security practices; TournyScout receives only the information needed to manage your subscription.
Data retention
We keep your information for as long as your account is active and as needed to run the Service.
You can delete your account yourself from your account settings. Any paid subscription is cancelled first, then we remove your account record, your teams and their rosters, your saved plans, shortlists, and comparisons, and every team logo and photo you uploaded — the stored image files too, so those links stop working for anyone who kept one. It can’t be undone.
Reviews you wrote are the exception, and they are de-identified rather than deleted: the rating, the category scores, and the words stay, because a tournament’s public rating is built out of them and silently pulling yours would move that rating for everyone else. Your name comes off — the review reads as “A coach” from then on. If you want the text gone too, email us before you delete the account: an administrator can hide the review, which takes it off the tournament page and out of that event’s average.
If you own an organization other coaches are still working in, it survives you and passes to the longest-standing owner still in it; if there is no other owner, to the longest-standing admin; and if there is neither, to whoever has been in it longest. It closes only when nobody else is left. Beyond that we keep the limited records we have to for legal, tax, security, or fraud-prevention reasons, including the billing history Stripe holds for us.
Your choices & requests
You can review and update most of your information from your account settings, and delete your account from there too. For anything else — access to your data, a correction, or any privacy question — email info@tournyscout.com or use the contact form, and we’ll respond within a reasonable time.
Changes to this notice
We may update this notice as the Service changes. We’ll revise the “Last updated” date above when we do, and for material changes we’ll take reasonable steps to let you know.
